We reserve the right to update or discontinue any service, package, or pricing at any time without prior notice. Listed prices do not include travel fees, permits, taxes, or additional charges unless explicitly stated.

Booking & Payment

All bookings are made online through our Website. Full or partial payment may be required at the time of booking, depending on the session type. Booking is not confirmed until payment is received and a session agreement is signed.

We reserve the right to refuse bookings at our discretion. All payments are processed via secure third-party services (e.g., Wix Payments, PayPal), and we do not store your credit card information.

All photography sessions, mentoring services, and digital products offered by Raven Moon Photography LLC must be booked and paid for through the official Website or as otherwise directed by us in writing. By initiating a booking, you agree to abide by all policies outlined in these Terms and in the individual session or product agreement.

Booking Process

To reserve a session, clients are required to:

  • Submit a booking request through the Website or provided form;

  • Select a date and package (subject to availability);

  • Complete any intake forms, agreements, or questionnaires provided by Raven Moon Photography LLC;

  • Pay the required non-refundable retainer fee or full session fee, as specified.

Booking is not confirmed until Raven Moon Photography LLC provides written confirmation via email or other communication. We reserve the right to decline any booking request at our sole discretion and without obligation to provide a reason.

Retainers & Deposits

Most photography services require a non-refundable retainer fee to reserve your selected session date and time. The retainer amount and terms will be clearly stated on the booking page or in the individual session agreement.

  • Retainers are non-transferable and are applied toward the final session balance.

  • Final payment is typically due no later than 7 days before the session date unless otherwise agreed in writing.

Failure to make timely payments may result in cancellation of the session and forfeiture of the retainer.

Payment Methods

We accept payment through secure third-party payment processors (e.g., Wix Payments, PayPal, credit/debit card) integrated into the Website. Raven Moon Photography LLC does not store or process payment details directly.

By submitting payment information, you represent and warrant that you are authorized to use the designated payment method and authorize us (or our third-party payment processor) to charge the full amount.

Sales Tax & Fees

Applicable sales tax may be added to all services and digital products based on your location and/or the tax requirements of Oregon, Washington, or other applicable jurisdictions. Additional fees may apply for:

  • Travel beyond designated service areas;

  • Special permits or location access;

  • Rush delivery or expedited editing;

  • Licensing for commercial use.

All additional fees will be clearly communicated and invoiced where applicable.

Digital Products & Licensing

Digital downloads, print purchases, and commercial-use licenses must be paid in full at the time of order. These products are delivered electronically or through a third-party gallery or platform, and are non-refundable once delivered or accessed.

Currency

All prices are listed in U.S. Dollars (USD) unless otherwise stated. You are responsible for any foreign exchange or transaction fees charged by your payment provider.

Rescheduling, Cancellations & Refunds

By booking a session, you agree to the cancellation and rescheduling terms included in your session agreement. Generally:

  • Client cancellations with less than [x days] notice may forfeit deposits.

  • Weather-related reschedules will be accommodated to the extent possible.

  • No-shows may be treated as cancellations.

Digital products (e.g., downloads, licenses) are non-refundable.

We understand that unexpected changes may arise. However, due to the nature of photography services — including time, preparation, and scheduling — Raven Moon Photography LLC maintains a strict rescheduling, cancellation, and refund policy as outlined below. By booking a service or purchasing a product, you acknowledge and agree to these terms.

Client-Initiated Rescheduling

Clients may request to reschedule a session by providing written notice at least 72 hours in advance of the scheduled session date. Requests received less than 72 hours prior may be subject to additional fees or forfeiture of the non-refundable retainer, at our discretion.

  • One (1) reschedule per session is permitted without penalty, subject to availability.

  • Rescheduled sessions must occur within 60 days of the original date unless otherwise agreed in writing.

  • A new session agreement may be required to confirm the updated date.

Failure to reschedule within the allowed window may result in cancellation without refund.

Client Cancellations

All retainers and session fees are non-refundable, except in cases of documented emergency as determined solely by Raven Moon Photography LLC.

  • Cancellations made more than 72 hours in advance may be eligible to apply the retainer to a future session (credit valid for 3 months).

  • Cancellations made less than 72 hours in advance will result in forfeiture of all amounts paid.

  • No-shows or failure to appear at the agreed time and location will be treated as a cancellation and are not eligible for refund or credit.

Photographer-Initiated Cancellations or Rescheduling

In the rare event that Raven Moon Photography LLC is unable to fulfill the session due to illness, emergency, weather conditions, or other unforeseen circumstances, we will:

  • Provide as much notice as reasonably possible;

  • Work with the client to reschedule the session at a mutually agreeable time;

  • If rescheduling is not possible, provide a full refund of any session fees paid (excluding completed services or delivered products);

  • Assist in referring the client to another trusted photographer, if applicable.

Raven Moon Photography LLC shall not be liable for any indirect costs, damages, or losses incurred by the client due to rescheduling or cancellation.

Weather-Related Rescheduling

For outdoor sessions, rescheduling may be required in cases of extreme or unsafe weather conditions (e.g., heavy rain, wildfire smoke, high winds). In such cases:

  • The decision to reschedule due to weather is at the sole discretion of Raven Moon Photography LLC;

  • We will work with the client to reschedule within 30 days or apply the retainer as credit toward a future session;

  • Weather-related cancellations initiated by the client without our agreement may be treated as a standard cancellation and subject to forfeiture.

Refunds – General Policy

Due to the artistic and custom nature of photography, all payments, including retainers and session fees, are non-refundable once services have been rendered or products have been delivered.

This includes:

  • Digital image downloads

  • Print orders

  • Commercial use licenses

  • Mentoring services

Refunds will not be provided due to dissatisfaction with poses, styling, expressions, or other aesthetic judgments once the session has been completed, as artistic interpretation is subjective and part of the creative service you are hiring.

In the event of a refund granted at the discretion of Raven Moon Photography LLC, any refund will be limited to the amount paid for unfulfilled services, excluding completed work and retainer fees.

Copyright & Usage Rights

All images and content are the property of Raven Moon Photography LLC unless otherwise agreed. Clients receive a limited license to use images for personal or agreed-upon commercial purposes as outlined in the contract.

No content or image on this site may be copied, reproduced, distributed, or used for any purpose without our written permission or a purchased commercial license.

All photographs, content, branding, website design, and written materials on this Website and produced through the services of Raven Moon Photography LLC ("Photographer", "we", "our") are protected under the U.S. Copyright Act and international intellectual property laws. By booking a session or using this Website, you agree to the following terms regarding ownership and usage of creative works.

Photographer's Copyright

Unless otherwise stated in a signed licensing agreement:

  • Raven Moon Photography LLC retains full copyright and intellectual property rights in all photographs and content created, whether delivered digitally or in print, commissioned or otherwise.

  • Copyright is never transferred to the client unless explicitly agreed to in writing.

  • We reserve the right to use any image created during a session for promotional, advertising, portfolio, editorial, and studio display purposes (including social media, website, print, and submission to publications), unless the client explicitly opts out in writing before the session or as part of a negotiated agreement.

Client Usage License (Personal Use)

Upon full payment and delivery of final images, clients are granted a limited, non-exclusive, non-transferable license to use the images for personal use only, including but not limited to:

  • Sharing on personal social media accounts (with proper credit/tagging when possible);

  • Printing for home display, gifts, or albums;

  • Personal websites or announcements (e.g., birth, engagement, graduation).

Clients may not:

  • Sell, license, or distribute the images to third parties;

  • Alter or edit the images beyond basic cropping or resizing (unless permission is granted);

  • Submit the images to contests or publications without written permission;

  • Claim authorship or remove copyright metadata or watermarks, if present

Commercial Use & Licensing

Use of any image for commercial, promotional, or editorial purposes (including creator branding, influencer content, Airbnb listings, product promotion, or business marketing) requires a separate commercial use license.

Such license terms may include:

  • Duration of use (e.g., 6 months, 1 year, perpetual);

  • Platforms or mediums allowed (e.g., web only, print, advertising, etc.);

  • Limitations on alterations or sublicensing;

  • Additional fees or royalties.

If you are booking a branding session, Airbnb photography, or any service that implies commercial use, you must agree to and sign a commercial license agreement prior to image delivery.

Unauthorized commercial use is a violation of copyright and may result in legal action, licensing back-pay, or termination of usage rights.

Model & Property Releases

In most cases, Raven Moon Photography LLC obtains a model release from the client at the time of booking or session. This release permits the Photographer to use the client’s likeness in promotional materials and social media. Clients who do not wish to grant this permission must notify us in writing prior to the session.

If photography is conducted at a location that requires a property release or special permit, it is the client’s responsibility to obtain necessary permissions unless otherwise arranged in writing.

Third-Party Printing or Distribution

Clients are free to print their images for personal use through third-party labs; however, Raven Moon Photography LLC is not responsible for the quality, color accuracy, or results of images printed outside of our recommended labs.

Digital files may not be uploaded to stock photo websites, AI training platforms, NFT markets, or any form of image database or mass-distribution platform.

4.6 Image Archiving & Storage

While Raven Moon Photography LLC may archive delivered image files for a limited time (typically 6–12 months), we do not guarantee long-term storage or retrieval. Clients are encouraged to download and back up all files upon delivery.

Re-delivery of galleries or files after the original delivery window may be subject to a service fee, if available.

These expectations apply to both online activity and in-person sessions, including communication, bookings, sessions, gallery access, and post-session interactions.

Violations of this policy may result in refusal or cancellation of service, denial of access to client galleries, and/or legal action.

  • Harass, abuse, or disrespect the Photographer or others associated with our services.

  • Hair, makeup, and wardrobe must be completed before the session unless otherwise arranged.

  • Any form of aggression, discrimination, or inappropriate behavior may result in immediate session termination without refund.

d) Pets & Animals
  • Well-behaved pets are welcome in sessions with prior written approval.

  • Clients are responsible for any damage, cleanup, or additional time caused by animals during the session.

e) Location Permits & Site Conduct

  • For weddings and elopements, guest limits are generally capped at 20 people. Larger groups may be accommodated on a case-by-case basis with advance notice.

Gallery Access, Delivery & Client Behavior

a) Online Gallery Use
  • Final images are delivered through a secure Wix gallery link. Previews may include watermarks.

  • Clients may share the gallery link with friends or family for personal viewing only.

  • Unauthorized downloads, reposting, or editing outside the license terms are strictly prohibited.

b) Social Media & Image Credit
  • When posting images on personal social media accounts, clients must provide visible credit (e.g., tag @ravenmoonphoto on Instagram or include name credit in captions).

  • Altering, filtering, or modifying the images before posting is discouraged and may breach the license agreement.

c) Edit Requests
  • Clients may request reasonable minor edits (e.g., blemish removal, light retouching) when reviewing proofs before prints or digital downloads are finalized.

  • Additional edits outside the session package may incur an extra fee.

d) Gallery Expiry & Re-Delivery
  • Online galleries are available for a limited time (typically 30 days unless otherwise stated).

  • Re-delivery of expired galleries is subject to a re-hosting or administrative fee, and re-uploading is not guaranteed after 6 months.

Right to Refuse Service

Raven Moon Photography LLC reserves the right to cancel, refuse, or discontinue service at any time, without refund, if:

  • The client violates any part of these Terms & Conditions;

  • Harassment, disrespect, or threatening behavior occurs;

  • Required information, payment, or permits are not submitted in time;

  • Session conditions are unsafe, unlawful, or beyond the scope of our services.

In such cases, the Photographer has the right to deny access to galleries, withhold image delivery, and block future bookings.

Certain services, such as branding sessions, Airbnb photography, and promotional content, may include the option to license images for commercial use. Commercial use is defined as use of the images for business purposes, including but not limited to websites, paid social media, advertising, and promotional materials.

All commercial image licenses are:

  • Non-transferable, non-sublicensable, and time-limited to one (1) year unless otherwise agreed in writing;

  • Exclusive to the client for the duration of the license term;

  • Subject to tiered pricing, based on the scope of intended use (e.g., social media, ads, packaging);

  • Bound by a strict no modification policy, including prohibitions on filtering, retouching, or altering skin tones, lighting, or color grading without explicit permission;

  • Require visible attribution to @ravenmoonphoto, including on paid advertisements and social platforms.

Commercial clients must sign a separate Commercial License Agreement prior to image delivery. Unauthorized use may result in legal action and retroactive licensing fees.
